Team Assistant (m/f)

The Team Assistant is providing full administrative support to the Technical Operations team.

MAIN RESPONSIBILITIES

  • Act as first point of contact for internal and external colleagues in the absence of the Technical Operations Manager and their team
  • Calendar management of the team calendar and the Direct Reports calendar
  • General administrative support
  • Organize the logistics for onsite and offsite meetings within the EMEA area
  • Support dedicated team members with all congress-related back office activities i.e. hotel, meeting room, restaurant bookings; the organization of congress symposia; prepare and follow up on speaker contracts; order and ship congress material; collect data of congresses in the area; travel bookings, prepare visa documents
  • Provide accounting related project support, i.e. vendor selection, vendor screening prior to any contract, secrecy declarations; prepare and follow up on shopping carts in SAP (SRM); follow up on invoices, accruals, CRM and Customer Service Cost Centers; prepare and process travel expenses

EDUCATION / QUALIFICATIONS / EXPERIENCE:

  • Minimum completed apprenticeship in office administration or related fields
  • Fluent in English and German, fluency in an additional European language is desirable
  • Excellent organizational, decision-making and planning skills; ability to prioritize and multi-task; cultural awareness, team player and “hands-on”
  • Excellent working knowledge of Microsoft Office and other work processing programs as well as the SAP (SRM) program for the ordering of services and goods
  • Excellent communication skills are essential to gain cooperation from internal and external customers to carry out the job efficiently
